How M&C Built an AI-Powered Used Car Marketplace Platform That Manages Four-Country Inventory, WhatsApp-First Sales, and Real-Time Operational Sync in One Ecosystem

Impact

4 Panels

One unified ecosystem with real-time database sync

4 Markets

Japan, Chile, Dubai, and Philippines managed from a single platform

13 Weeks

Concept to live deployment across the full sales lifecycle

Project Overview

Most used car operations run on fragmented systems. Inventory lives in a spreadsheet, inquiries arrive through informal channels, invoicing happens in a separate tool, and the sales team spends a significant portion of each day reconciling information that should already be connected.

M&C came to Tezeract with a different ambition. A multi-location used car dealer operating across Japan, Chile, Dubai, and the Philippines, M&C needed a platform that could manage the complete used car sales lifecycle from one synchronized ecosystem.

Tezeract designed and built the M&C ecosystem from the ground up: four interconnected web panels sharing one unified database with real-time synchronization, WhatsApp and email integration, and a two-invoice payment engine built around how automotive retail actually operates.

What Changed

Sales reps no longer work off disconnected tools or stale information. A single status update in the sales panel immediately propagates to inventory and the customer-facing website. Customers never see a car as available that the sales team has already reserved. The data entry operator never waits for a manual trigger to begin the shipping workflow.

Core Problem

No online selling platform; inventory, inquiries, invoicing, and shipping were managed through disconnected manual processes across four countries with no centralized system of record

Decision Maker

Business Owner

Why This Matters for Buyers Like You?

If you are running a multi-location dealership, a used goods marketplace, or any business that splits inventory between online and physical retail channels, the problem M&C faced will look familiar. Managing stock across locations, keeping sales teams aligned on the same leads, and delivering a clean buying experience to customers in multiple countries are each difficult on their own. Doing all three simultaneously, without a unified platform, is where most operations stall.

The system Tezeract built for M&C demonstrates what becomes possible when custom software development is scoped around your actual business model rather than retrofitted from a tool designed for someone else’s workflow.

The Challenge

No Platform, No Pipeline, No Process Across Four Countries

M&C - AI-powered Used car marketplace platform

01

Primary Problem

M&C had no online selling platform. A multi-country used car operation was running entirely offline, with no way for customers to browse inventory, no structured inquiry process, no centralized invoice management, and no visibility across locations for management. Every sale required manual coordination between staff across different countries and time zones, with no shared system of record to keep everyone aligned.

Without a purpose-built automotive retail software solution, the business could not bring its full inventory online, scale the sales team’s capacity, or deliver a consistent buying experience regardless of where the car was physically located.

Secondary Challenges

No centralized inventory management

Cars across Japan, Chile, Dubai, and the Philippines existed in separate offline records with no unified view, making stock availability, discounts, and location assignment impossible to manage cleanly at scale.

02

No structured inquiry flow

Customer inquiries arrived through informal channels without batching, ownership assignment, or status tracking, creating conditions in which leads fell through the cracks or multiple sales reps chased the same buyer.

03

No invoice or payment workflow

Invoicing was handled manually with no standardized process for the two-stage payment model the business used in practice.

04

No shipping visibility for customers

Buyers purchasing Japan-sourced cars had no way to track their shipment, and the operations team had no centralized system to log updates and notify customers at each milestone.

05

No management reporting

Ownership had no real-time view of inquiry volumes, sales rep performance, or stock movement across channels and locations.

06

Why This Mattered Commercially

FrontOffice’s value proposition to traders was accuracy and timing. Every missed signal or false positive was a direct hit to that proposition, and in a market where traders have dozens of alternatives, trust erodes fast. Charles needed a rebuild that addressed the forecasting gap at the model level, not just the alert delivery layer.

What Slowed Down Operations and Triggered the Need for Immediate Change

Previous Solutions Tried

M&C had no existing digital platform in place before this engagement. The business was operating entirely on manual coordination, informal communication between staff in different countries, and direct phone or message-based customer contact. No off-the-shelf CRM, marketplace, or ERP solution had been adopted prior to approaching Tezeract.

Business Impact

Operating without a used car marketplace development solution put a hard ceiling on growth. Every sale was a coordination exercise. Leads were not captured or tracked systematically. Inventory availability was communicated manually and often inaccurately. Invoicing had no standard process.

At the volume M&C was targeting across four countries, this approach could not scale without introducing significant operational risk and losing deals to more organized competitors.

Journey Overview

Why Tezeract

Owais needed more than a development team. He needed a partner who could take a complex multi-panel system from architecture through deployment without losing the operational logic that made M&C’s sales model function.

Before engaging Tezeract, the options on the table were:

  • Off-the-shelf marketplace platforms: Fast to launch, but none could accommodate the four-panel architecture, the WhatsApp integration for car sales workflow, the two-invoice payment logic, or the multi-location inventory model without material compromise to how the business actually operated.

  • Freelance developers: Lower upfront cost, but no capacity to manage the full scope, no structured delivery framework, and no single point of accountability across a 13-week engagement.

  • Generic CRM plus website combinations: Could address individual parts of the workflow in isolation, but required manual bridging between tools and offered no path to real-time synchronization across inventory, sales, and shipping.

Why Tezeract Won the Evaluation

Tezeract presented a complete technical architecture before development began. ERD design, API contracts, database schema, and the dependency order for building the four panels were locked during discovery, giving Owais full visibility into how the system would be built and in what sequence.

The evaluation came down to three factors: the capability to deliver a fully custom automotive ecommerce platform at this level of complexity, an Agile delivery structure that surfaces issues during the build rather than at launch, and a committed 30-day post-launch support window. Tezeract delivered on all three.

The Solution

M&C, A Four-Panel Automotive Retail Software Solution Built for Multi-Location Used Car Sales

M&C - AI-powered Used car marketplace platform

M&C is not four separate tools that communicate with each other. It is one ecosystem where inventory, customers, sales, and management share a single database and a single version of reality at all times. A status change in any panel propagates instantly to all others, so the team never operates off stale data regardless of location or time zone.

The web application development approach was built on a dependency-ordered delivery model: the Data Entry Panel came first as the source of inventory truth, the E-commerce Website second as the customer entry point, the Sales Panel third as the transaction engine, and the Super Admin Panel last as the oversight layer.

How M&C Works?

A data entry operator adds a car to the system with full attributes, images, and location assignment. That listing appears immediately on the customer-facing ecommerce website with the correct availability status and location-based filtering applied. A customer browses, finds a car, and initiates contact using a pre-populated WhatsApp template directly from the listing page, or fills in the detailed inquiry form.

That inquiry lands in the Sales Panel, batched automatically with any other inquiries on the same stock ID, and is claimed by the first sales rep who responds. The rep manages the deal through two invoices, communicates externally with the buyer via WhatsApp or email, and updates deal status as milestones are reached.

Every update flows back instantly to inventory and the website. Management watches all of it in real time through the Super Admin insights dashboard.

Phases wise Deployment

Tezeract delivered the M&C ecosystem across four structured phases over approximately 13 weeks. Architecture, ERD, and API contracts were finalized before development started, and real-time synchronization was tested continuously across all phases rather than validated only at the end.

Discovery, Design, and Architecture M&C

01

Discovery, Design, and Architecture

UI/UX design was completed across all four panels, covering every user role and every workflow state from listing creation to post-sale car removal. The ERD and unified database schema were designed to support the real-time multi-panel sync model. API contracts were written and approved before any development work began, establishing a clear interface agreement that prevented downstream rework.

Key milestone: Full scope approved. ERD, schema, and API contracts signed off. Dependency build order confirmed.

Data Entry Panel and E-Commerce Website M&C

02

Data Entry Panel and E-Commerce Website

Car listing management, image handling, multi-location inventory assignment, discount workflows, and returned-car logic were built in the Data Entry Panel. The E-commerce Website was built with structured display hierarchy, dual authentication, advanced filtering, inquiry forms, WhatsApp integration, and verified-purchase reviews. Real-time sync between the two panels was validated throughout this phase.

Key milestone: Inventory live in the Data Entry Panel. Customer-facing website live with full browsing, registration, and WhatsApp inquiry functionality tested end-to-end.

Sales Panel and Super Admin Panel M&C

03

Sales Panel and Super Admin Panel

Inquiry batching and first-responder ownership assignment logic were built and validated under concurrent-use conditions. The two-invoice system with dynamic templates, flexible payment splits, 7-day reminder logic, and return-to-website workflow was implemented. Outlet sold-car tracking was built and connected to automatic website removal. The Super Admin Panel was built with full user management, role permissions, and the insights dashboard.

Key milestone: Complete inquiry-to-invoice workflow tested across all deal states. Outlet sold-car flow confirmed. Super Admin dashboard live with time-period and sales-rep filtering.

Integration, Testing, Deployment, and Handover M&C

04

Integration, Testing, Deployment, and Handover

Real-time synchronization was validated across all four panels under production-simulated concurrent usage. Regression testing covered every status-change trigger, notification pathway, and role permission combination. The platform was deployed, handed over with documentation, and a 30-day post-launch support window was initiated through April 17, 2025.

Key milestone: All four panels live and confirmed in sync under production conditions. Full handover complete.

M&C - AI-powered Used car marketplace platform

01

Real-Time Four-Panel Synchronization

Every status change in any panel propagates instantly across all four. A first invoice marked paid in the Sales Panel triggers the shipping workflow in the Data Entry Panel and marks the car as reserved on the E-commerce Website simultaneously. No manual update, no lag, no version mismatch. This is the foundation that makes the entire retail software development approach here different from a loosely connected tool stack.

M&C - AI-powered Used car marketplace platform

02

WhatsApp-First Inquiry and Communication

Customers initiate contact via pre-populated WhatsApp templates directly from vehicle listing pages, meeting buyers through the channel they already use in this market. Sales reps manage all external deal communication through WhatsApp or email from within the Sales Panel. The robust third-party integration layer means every message touchpoint stays connected to the deal record without manual logging.

M&C - AI-powered Used car marketplace platform

03

Two-Invoice Flexible Payment Engine

The M&C payment model mirrors how automotive sales actually close: a first invoice to confirm the deal, a second to complete it. Both are generated from dynamic templates with adjustable payment splits. A 7-day soft reservation reminder bridges the gap between invoices without a hard expiry that would artificially end deals still in progress.
M&C - AI-powered Used car marketplace platform

04

Multi-Location Inventory Architecture

Japan-sourced cars are listed online and managed through a full shipping tracking workflow. Chile, Dubai, and Philippines inventory is designated as outlet-only and removed from the website automatically the moment a rep marks a unit sold by stock ID. Both channels operate through the same backend development layer with no parallel manual reconciliation required.

What potential use cases of M&C?

How AI helps AI-Powered Used Car Marketplace Platform

Multi-Location Used Car Dealerships

Any dealership managing inventory across multiple countries or warehouses can use this architecture to consolidate all stock into a single vehicle listing management system, assign location-specific availability rules and sales workflows, and provide customers with a single browsing experience that reflects real-time inventory across all sites.

01

Import-to-Retail Automotive Businesses

Businesses that source vehicles from one country and sell in others need a platform built around the full cycle: sourcing, listing, inquiry, sales management, shipping tracking, and delivery confirmation across channels. The M&C platform was designed specifically for this operational model.

02

Car Sales CRM for Multi-Rep Sales Teams

Sales teams handling high inquiry volumes across a large, rotating stock need inquiry batching, ownership assignment, and deal-stage tracking built into their CRM. The Sales Panel Tezeract built for M&C functions as a purpose-built car sales CRM software that prevents lead collision, tracks deals from first contact to paid second invoice, and surfaces rep-level performance data to management without manual reporting.

03

Used Goods Marketplaces With Mixed Online and Offline Channels

The four-panel architecture and the distinction between online and outlet inventory is transferable to any vertical selling used goods through a combination of ecommerce and physical retail. Machinery, electronics, furniture, or any category with split channel inventory would benefit from the same real-time synchronization model.

04

Dealer Networks Requiring Structured Management Reporting

The Super Admin Panel and insights dashboard built for M&C are directly applicable to any automotive retail or franchise operation where ownership needs real-time visibility across sales reps, locations, deal stages, and time periods without relying on manually compiled reports or disconnected spreadsheets.

Frequently Asked Questions

An AI-powered used car marketplace platform is a custom-built digital ecosystem that manages the full lifecycle of used car sales including inventory management, customer browsing, inquiry handling, invoicing, shipping tracking, and management reporting from one connected system. Unlike off-the-shelf solutions, a custom platform is built around your specific inventory model, sales workflow, and communication channels
The M&C platform, covering four interconnected web panels for inventory, ecommerce, sales, and administration across four countries, was built and deployed in approximately 13 weeks. Timelines vary based on scope, number of user roles, integration requirements, and workflow complexity. Locking the architecture, ERD, and API contracts during discovery is the single most effective way to keep delivery on schedule.
Off-the-shelf marketplace tools are built for generic use cases and require businesses to adapt their operations to fit the tool. Custom automotive software development builds the platform around your specific inventory structure, sales logic, payment model, and communication workflow. For businesses with multi-location stock, split online and offline channels, or non-standard payment flows, a custom build is almost always the right decision.
Yes. WhatsApp integration for car sales is one of the most practical communication features in this market because it meets buyers in the channel they already use. In the M&C platform, customers initiate inquiries directly from a listing page using pre-populated WhatsApp templates, and sales reps manage external communication via WhatsApp or email with all deal status tracked centrally in the Sales Panel.
A complete vehicle listing management system should support detailed vehicle attributes, multi-image uploads per listing, multi-location inventory assignment, discount and availability management, real-time sync with the customer-facing website, and a workflow for handling returned or re-listed cars. The M&C Data Entry Panel supported up to 20 images per listing and managed inventory simultaneously across Japan, Chile, Dubai, and the Philippines.
Real-time synchronization works through a shared database with API-driven status propagation. When a sales rep marks a first invoice as paid, that event simultaneously triggers the Data Entry Panel to begin the shipping workflow and updates the E-commerce Website to mark the car as reserved. No manual update is required in any panel. This architecture eliminates the data lag that causes customers to inquire on cars already taken off the market.
Car sales CRM software is purpose-built for automotive sales workflows rather than generic pipeline management. It handles inquiry batching by stock ID, first-responder ownership lock, two-stage invoicing, reservation tracking with automated reminders, and multi-location outlet sold-car management. General CRMs can approximate some of these features with heavy configuration, but they are not designed for the specific progression from inquiry to delivery that defines how automotive deals actually close.
Yes. The M&C platform distinguishes between Japan-sourced inventory sold online with full shipping tracking and outlet inventory in Chile, Dubai, and the Philippines available for in-person purchase. Both channels feed into the same Sales Panel and Admin dashboard. The website updates automatically when either channel completes a sale, making this a fully functional multi-channel automotive ecommerce platform with no manual reconciliation required between channels.
